Celebrating graduate success earns recognition
Sabrina Ayers Holmes was a recent graduate of Ohio Dominican University when she was called upon to help with Columbus State’s own graduation ceremony. By bringing the spirit of celebration back to the drudgery of handing out caps, gowns and tassels to each student, Ayers Holmes was able to have a little fun with a job that was certainly not in any description of her position.
Holmes Ayers is the office associate in Student Activities, working with students, staff, faculty and administrators on the many clubs, organizations, sports and activities the department coordinates. She has worked at the college for two years, starting in Human Resources.
The Columbus State Student Ambassadors are usually signed up to help pass out caps and gowns prior to each quarter’s commencement, but on the two days prior to the December event, none were available to work. “Sabrina stepped up to the plate and spent the next 18 hours over two days, congratulating every student, helping them find their size, giving them a quick list of instructions and sending them on their way, relieved and smiling,” said Suzanne May, her nominator for the Staff Employee of the Month award.
Ayers Holmes was surprised with the SEOM recognition in an award ceremony held June 1.
“Graduation is held on the last day of finals week each quarter, and for the students graduating it can be a very stressful few days as they try to wrap up all the final details,” said May. “Sabrina was able to share her own pride and sense of accomplishment in graduating from ODU, and help the Columbus State soon-to-be-grads get into a celebratory mood!”

the numbersMuch work has been going on behind the scenes in preparation for the college’s Switch2Semesters in autumn 2012. As student advising begins later this summer, the college-wide effort will move more toward center stage.
Before that happens, here are a few numbers that reveal the scope of the project. “Behind the scenes and by the numbers” will continue in the next Update.
Twenty-five people were appointed to the Switch2Semesters Steering Committee in the fall of 2009. This group has met approximately every two weeks for 1½ years — that’s at least 35 meetings to date. The Steering Committee guides and oversees the college’s Switch2Semesters project.
Five Steering Committee subcommittees (with approximately 12 members each) have been meeting regularly for more than a year. The Business Operations, Communications, Curriculum, Enrollment and Student Services, and Information Technology subcommittees are comprised of cross-functional college personnel and a few students. Each committee has specific and designated responsibilities regarding the conversion effort.
A Core Team of 15 individuals, who dedicate varying portions of their work week to the Switch2Semesters project, meets weekly. Six Core Team members work full time on semesters. A number of subject matter experts (SMEs) assist Core Team efforts as needed.
More than 1,500 courses have been reviewed or revised as part of the semesters academic review effort. College faculty, staff, and administration looked at every course offering and program.
College wide, 30 individuals were involved in creating 20 unique test plans that contain 1,400 different test scripts. This effort will allow the college to validate the 80 technical changes made by IT to support the Switch2Semesters changes before moving into production.
To date, 100 college policies and procedures have been studied or reviewed in light of the Switch2Semesters. The proposed changes are making their way through the normal Shared Governance channels.

Summer Quarter fee waivers due June 15
The deadline for Employee/Dependent Fee Waivers for SU 11 is June 15. A Request for Fee Waiver form must be turned into Human Resources by 4:30 p.m. to guarantee that fee waivers will be processed before late fees are assessed.
You may also first pay your fees and be reimbursed within 30 days from the start of the quarter by completing the Request for Fee Waiver form and submitting an official payment receipt into Human Resources by July 27. If you have questions, please contact Susan Thompson or call ext. 2406.
